Tags: A Deceptively Simple, Yet Powerful Way to Search Your Library

In a recent research survey on RFP management, the top challenge reported in the response process was being able to find accurate answers to questions quickly (which was selected by 44% of respondents).

For those handling RFPs, that may not come as a surprise. Navigating the vast and often disorganized systems of internal content is challenging—especially when searching for answers that are specific to certain verticals, geographic regions, or company types.

The advanced structuring capabilities in Loopio’s Library already improve how teams store and access RFP answer content. However, we wanted to make filtering content even more powerful, especially for those with complex Libraries.

That’s why we’re happy to introduce enhanced functionality that further leverages Tags as a quick-sorting content filter. 

Better Organization = Better RFPs

While Loopio already allows users to organize content in Stacks and Categories, we wanted to make finding the right answer an even better experience for your team. That is why Tags can now be used to more granularly organize and filter content. It’s deceptively simple, yet very powerful.

You can now introduce new levels of organization—without creating new hierarchies or duplicating content. With the flexibility to filter search results against Tags, your content Library can now support even more complex content structures. It will also allow your team to more quickly and accurately find the content they need.

How to Search with Tags

At the most basic level, filtering against Tags gives you the ability to surface Library Entries that only have certain Tags.

One example that you might be familiar with is filtering results for e-commerce stores. When you visit the website of your favourite clothing store, you can filter for things like colour, size, or brand. All of these “filters” are considered non-hierarchical and can be applied across multiple categories (e.g. you can filter for all the blue coloured articles of clothing across multiple categories like t-shirts, shorts, and pants).

In the same way, you can now filter Library Entries with Tags like:

  • Geography
  • Vertical
  • Short/long-form
  • NDA

While there are countless ways to leverage these Tags, here are some use cases we’ve heard about from our customers.

Ways to Make Tags Work for You

Tags for Content Requiring an NDA

RFPs can become very granular, getting down into the weeds of your company’s product roadmaps, financials, and other proprietary information. While providing this information may help push a deal forward, it’s important to have the checks and balances in place to ensure this information is kept confidential. That is, you want to have a Non-Disclosure Agreement (NDA) in place between you and your prospective customers.

When teams search for answers in the Library you can now add NDA Tags to indicate which entries should be restricted to prospects who have signed an NDA. These Tags will help teams answer more confidently and also give your Legal and Compliance teams peace of mind that confidential information is being carefully distributed.

Tags to Different Industry Verticals

Crafting winning RFPs often means writing responses that are more tailored and customized than your competitors. To do this, you must set up a Library structure that can accommodate all these distinct variations.

Using Tags, your team can answer the same question differently based on the industry your potential customer is in. An executive summary could look vastly different depending on the industry vertical you are selling to. Now, when you search for executive summaries, you can filter for only that specific industry vertical, confidently knowing you are answering with the most targeted and relevant information.

Tags for Different Geographies

Questions around features and product capabilities are frequently asked on questionnaires. One concern for global businesses is that certain features often aren’t available in or are different in other regions. This can make it tough for sales teams to be sure that the answers they give are accurate based on the prospect’s geography.

By leveraging Tags, you and your sales team reps can respond to questions with Library Entries that have been filtered based on the relevant geography.

Note: if a Library Entry is relevant for several multiple locations, you can add multiple geography Tags so that you don’t need to duplicate entries.
