About Loopio

Loopio Inc., together with Loopio UK Ltd., Loopio India Software Private Limited and all other affiliates and subsidiaries (collectively “Loopio”), is a privately held group of companies that provides a software-as-a-service (Saas) platform to help organizations curate, manage, and access content for responding to RFPs, RFIS, DDQs, and SQs (the “Services”).

Governance

Loopio is committed to conducting its business in a responsible, ethical, and sustainable manner. This Environmental, Social, and Governance (“ESG”) Policy (this “Policy”) outlines our commitment to integrating ESG considerations into our business strategy, operations, and decision-making processes, including when engaging with customers, suppliers, and other stakeholders. This commitment extends to the responsible design, development, deployment, and use of artificial intelligence (“AI”) and automated systems, recognizing their potential societal impacts.

Loopio also recognizes its responsibilities under emerging AI regulatory frameworks, including but not limited to the European Union Artificial Intelligence Act (“EU AI Act”), and is committed to implementing risk-based governance, transparency, human oversight, and accountability measures in connection with the development, deployment, procurement, and use of AI systems.

Our approach to managing social risks, ethical conduct, health and safety, and environmental responsibility and AI-related risks is driven by a top-down mandate. This Policy has been reviewed and approved by Loopio’s Risk and Audit Board Committee and is fully supported by the Executive Leadership Team.

AI governance and regulatory compliance, including adherence to applicable AI risk classification, documentation, transparency, and monitoring obligations, form part of Loopio’s enterprise risk management and oversight structure.

At Loopio, we are committed to making responsible choices in how we operate, with the goal of driving sustainability excellence across our business. We establish clear guidelines to help manage and grow our operations in an environmentally conscious manner, with the active support of our employees, suppliers, and partners.

We encourage and support efforts that help minimize our environmental footprint, including where technology and AI-enabled systems contribute to energy consumption or infrastructure usage.

Social Factors

Human Rights (including Modern Slavery)

Loopio is committed to enhancing transparency and combating slavery and human trafficking throughout our business and supply chain. We are dedicated to protecting fundamental human rights across all our operations. Our Modern Slavery Policy underscores this commitment, emphasizing ethical conduct and integrity in all business relationships, and the implementation of effective systems and controls to ensure that slavery and human trafficking do not occur within our supply chains.

This commitment includes assessing human rights risks that may arise from the use of technology and AI systems, including risks related to bias, exclusion, or unfair treatment of individuals or groups.

Loopio recognizes that certain AI systems may pose risks to fundamental rights as defined under applicable laws and international frameworks. Where AI technologies are used or provided, Loopio seeks to evaluate potential impacts on individual rights, access to services, equality, and non-discrimination, and implements safeguards designed to mitigate adverse impacts.

Health & Safety

Loopio is devoted to maintaining a healthy and safe working environment in full compliance with all applicable laws and leading health and safety standards. We have established a Joint Health and Safety Committee to promote workplace safety and ensure ongoing compliance with these commitments. All Loopio employees are required to complete health and safety training to support a safe work environment.

We also consider potential health and safety impacts associated with AI-enabled systems, including physical, psychological, or emotional harm, and incorporate appropriate risk assessment, testing, and escalation mechanisms as part of our governance processes.

Where AI systems may influence decision-making or operational processes, Loopio seeks to implement appropriate human oversight, validation processes, and escalation procedures designed to reduce the risk of physical or psychological harm.

Loopio is committed to monitoring AI-enabled processes for potential bias, discriminatory outcomes, or disproportionate impacts on protected groups, and to implementing reasonable measures to test, evaluate, and mitigate such risks where identified.

Responsible Use of AI 

Loopio recognizes that AI and automated systems may have broader societal impacts, including impacts on economic participation, public trust, access to services, and social norms. 

Loopio applies a risk-based approach consistent with emerging AI regulatory frameworks, including classification of AI use cases based on risk level where appropriate, and implementation of proportional controls aligned with those risks.

Conflicts of Interest

Every Loopio employee has a personal responsibility to protect the company’s reputation and to act with honesty and integrity in all dealings with customers, business partners, vendors, and colleagues. This expectation is clearly outlined in Loopio’s Employee Handbook. Compliance with all applicable laws, rules, and regulations related to company activities is mandatory, and employees must conduct themselves in a manner that avoids even the appearance of impropriety.

All employees are expected to act in the best interests of Loopio and exercise sound judgement when representing the company. This means that all business decisions should be made free from any actual or perceived conflicts of interest.

Employees must exercise independent judgement and avoid reliance on automated outputs where doing so could create legal, ethical, or regulatory risks without appropriate human review.

Anti-Money Laundering, Bribery & Corruption

Loopio strictly prohibits any employee, director, or individual acting on behalf of the company from offering, giving, or promising any loan, reward, advantage, or benefit to another person in order to secure a business advantage. This prohibition is reinforced in Loopio’s Employee Handbook.

We are committed to maintaining a fair and ethical workplace for both our employees and business partners. Offering or accepting gifts or entertainment must always comply with applicable laws, local business customs, and the internal policies of Loopio and its customers.

We also acknowledge that AI technologies may impact public institutions and democratic processes, including risks related to misinformation, misuse, and national or public security. We commit to lawful, ethical use of AI and to implementing safeguards designed to prevent misuse of our systems for harmful or deceptive purposes.

Whistleblower Policy

Loopio’s Employee Handbook mandates that management and the People Team review every complaint of harassment, violence, or bullying reported in the workplace. Investigations may also be initiated based on whistleblowing disclosures or other information that comes to light.

We are committed to fostering an environment of integrity and ethical behavior, where employees feel safe, respected, and empowered to work lawfully, this includes concerns related to AI system safety, bias, unlawful automated decision-making, or regulatory non-compliance. Loopio’s Whistleblower Policy ensures that employees can report any wrongdoing that may negatively impact Loopio, its employees, customers, shareholders, investors, or the public, without fear of retaliation or adverse consequences to their employment.

All reports and complaints made under the Whistleblower Policy are reviewed and reported to Loopio’s Board of Directors through the Risk and Audit Committee on a quarterly basis.

AI & Societal Impact

We recognize that AI systems may have direct or indirect impacts on individuals, organizations, and society. As part of our ESG commitments and our AI Management System, we assess, monitor, and mitigate potential societal impacts arising from the design, development, deployment, and use of AI-enabled systems.

Compliance & Policy Violation

Compliance with this Policy is mandatory for all Loopio employees and applicable third parties, including adherence to internal AI governance standards and regulatory requirements applicable to AI technologies used, developed, or provided by Loopio. Employees must promptly report any actual or suspected violations in accordance with the procedures outlined in Loopio’s Employee Code of Conduct. Loopio prohibits retaliation against anyone who makes a good faith report.

Violations by employees may result in disciplinary action, up to and including termination, as outlined in the Employee Handbook. Loopio reserves the right to take appropriate action with respect to third parties who violate this Policy.

Changes to This Policy

We reserve the right to update this Policy at any time to reflect changes to our internal practices or evolving legal and regulatory developments relating to AI and automated decision-making technologies. The revised Policy will be posted on this website. We strongly encourage you to refer to this Policy often for the latest information about our ESG practices.
